Property PA/Private PA with property experience

Paying £50,000-£90,000 DOE

We are looking to hire an experienced Private PA with extensive property management experience  to work for small Private Family Office based in London, overseeing 7 UK properties;

Requirements:

  • Managing a portfolio of properties in London & countryside both residential and commercial, therefore any prior experience managing commercial properties a huge plus.
  •  Conducting regular site visits and managing day-to-day issues related to the property wellbeing.
  • Overseeing maintenance and repair works
  • Ensuring the security of properties by managing intruder alarm, access control systems and surveillance equipment in addition to tracking all personnel who are onsite i.e. third-party contractors.
  • Managing third party suppliers and contractors; including vetting, negotiating contracts and ensuring they deliver high-quality services.
  • Keeping the principals updated with the goings on at each property by submitting weekly schedules and inputting any appointments/works to the household calendar.
  • Develop house operating manuals for each property. These will cover house systems, emergency contacts, troubleshooting procedures 
  • Project management - playing a crucial role with any ongoing and upcoming projects, which involves being in regular contact with appointed professional property team and experts, i.e. architects, structural engineers etc.
  • Manage the snagging/defects period after each completed project.
  • Managing the budget and expenses for the properties, including validating and paying invoices.
  • Hiring, onboarding and supervising staff.
  • Implement house staff safety procedures and training.
  • Assisting with the buying and selling of properties as instructed by the principal and liaising with the principal’s appointed solicitor and agents.
  • Ensuring health and safety certificates are current.
  • Ensuring all obligations and responsibilities as the landlord of a commercial properties are met including fire safety.
  • Obtaining relevant insurances for properties and keeping these updated.
  •  Utility management.
  • Knowledge of water systems a huge plus but not essential
  • Take on key holder responsibilities.

You will be required to work core hours, 8.30am-6pm, Monday to Friday, but be contactable outside working hours, if and when required. 

This role involves travel to various UK locations outside of London, so all Estate and Property Managers applying will ideally be drivers.
